Ashford University Financial Services Military Lead in San Diego, California

Position Summary:

The Financial Services Military Lead position is a full-time employment opportunity. The Financial Services Military Lead maintains a working knowledge of Federal, State and Institutional Policies governing Title IV student aid programs as well as Military Tuition Assistance and Veteran Benefit Programs. Responsibilities include providing information on student finance options and monitoring individual student funding levels. The Financial Services Military Lead assists their Military Financial Services Manager with the administration and operational duties of their team. The position includes providing service to military and veteran students in accordance with all policies, procedures, regulations and best practices for serving military and veteran students, including but not limited to: (1) the Department of Defense Memorandum of Understanding (DoD MOU), (2) the Department of Veterans Affairs (VA) Principles of Excellence, and (3) the Department of Education’s 8 Keys to Veterans Success and (4) specific requirements of the each branch of service or VA educational benefit with which the student is affiliated.

Essential Job Duties:

  • Serves as a team leader, assisting the Military Financial Services Manager in coordinating, assigning, and monitoring job duties of Military Financial Services Team

  • Counsel students on student finance opportunities and the proper application process if applicable

  • Communicate institutional policies and procedures to students by conducting phone consultations if applicable

  • Counsel students on the document intake, awarding, disbursement and withdrawal processes if applicable

  • Counsel both prospective students and continuing students to ensure they successfully complete the application and reapplication process in a timely manner if applicable

  • Maintain a working knowledge of Federal, State and Institutional Policies governing Title IV student aid programs

  • Maintain a working knowledge of Military Tuition Assistance and Veteran Affairs Benefit Programs

  • Communicate with students via phone, email, etc. to answer inquiries on educational funding questions and concerns in a timely manner if applicable

  • Communicate with students via phone, email, etc. to answer inquiries on payment, certification, and invoicing issues

  • Guide students on the completion of Leave of Absence forms in accordance with University policy if applicable

  • Serve as liaison between military students, Department of Veterans Affairs, Education Service Officers and university departments

  • Provide excellent customer service to students and parents if applicable

  • Manage incoming calls and direct students to the appropriate person

  • Conduct and complete activities via CampusVue

  • Guide students to complete the appropriate forms by providing the information they need to fully complete their student financing process if applicable

  • Assist Military Financial Services Manager in the self-auditing of certification/invoicing performed by staff

  • Maintain all military files for annual review purposes

  • Prepare written correspondence/reports such as letters to veterans and the VA, reports on veteran recruitment efforts, and annual report to state seeking approval to train veterans.

  • Monitor and verify veteran student enrollment and report to Veterans’ Administration

  • Apply Veteran Administration policy and procedures appropriately.

  • All other duties as assigned

Additional Job Duties (include but are not limited to):

  • Responsible for resolving accounts receivable balances on student accounts and communicating with students on collection efforts if applicable

  • Prepare, review, and take appropriate action on reports such as account aging, student activities, etc.

  • Maintain Working knowledge of VA Once system as well as the numerous Military Tuition Assistance Portals (Branch Specific)

Minimum Requirements:

  • One (1) year of experience in an educational setting or finance background required

  • Proficient in Microsoft Office, Word, Excel, Outlook, and PowerPoint applications.

  • Proficient in database contact management applications and contact management strategies.

  • Knowledge of Tuition Assistance and Veteran Affairs programs, as well as, financial aid programs and regulations.

  • Excellent customer service skills—Verbal communication, phone skills, listening, informing, and customer focus

  • Ability to follow University policies and procedures with good independent judgment

Preferred Qualifications:

  • Financial Aid and Military experience a plus.

  • Excellent customer service skills.

  • Ability to communicate effectively, both verbally and written.

  • Strong interpersonal skills

  • Knowledge of CampusVue a plus

  • One (1) year of experience in an educational setting or finance background

  • Prior experience working in or with military


  • Bachelor’s Degree preferred

Education Requirements:

Physical Demands: While performing the duties of the job, the employee is regularly required to use hands and arms and talk or hear. The employee requires dexterity in using telephone, computer keyboard, mouse and calculator while seated at a desk. The employee is frequently required to stand, walk and sit. The employee may frequently move to interact with fellow employees and/or clients. Specific vision abilities required by this job include close vision, depth perception and ability to adjust focus.

Communication Skills: While performing Duties of the job, the employee is required to read and comprehend instructions, correspondence and memos. The employee requires the ability to write effective and detailed correspondence and to effectively present information both in one-on-one and small group situations.

Mental Demands: While performing duties of this job, the employee is required to deal with stress associated with a fast-paced work environment and multiple priorities/tasks. The employee will be required to make judgment decisions and adapt to changing work situations, grasp and apply new ideas, communicate with various personalities at all levels and have the ability to apply common sense understanding to carry out detailed instructions.

Work Environment: While performing duties of this job, the employee is required to work in an office environment, and the noise level is usually moderate to loud.
